OCR converts visual text into machine-readable text. Intelligent document processing, often shortened to IDP, adds classification, field extraction and workflow logic. Document AI is a broader term for AI techniques used to understand documents. A production document workflow usually needs more than any one model: it needs extraction, explicit validation, exception handling and a controlled downstream handoff.
OCR: read the characters
Optical character recognition is useful when the primary problem is turning scanned or image-based text into searchable or machine-readable text. OCR does not by itself define which values matter to the business, whether those values are valid, or what should happen next.
IDP: understand and structure the document
Intelligent document processing generally combines OCR or native text extraction with document classification, field and table extraction, workflow logic and sometimes human review. The goal is not just to read text, but to produce structured data that maps to a business process.
Document AI: use AI techniques to interpret documents
Document AI is a broad category. It can include layout models, language models, multimodal models, classifiers and extraction systems. These techniques can improve flexibility when document layouts vary or when the system needs to interpret context rather than match fixed coordinates.
The missing layer: trusted output
Many evaluations stop at whether a model found the right field. Operations teams need a second question: can the output be trusted enough to move forward? That requires deterministic checks where the rule is known, clear exception states where it is not, and traceability back to the source document.
Use OCR when
- You mainly need searchable or machine-readable text.
- Document structure is simple and downstream interpretation is handled elsewhere.
Use an IDP workflow when
- You need classification, structured fields or tables.
- You need exceptions, validation and delivery into another system.
- Layouts vary across suppliers, customers or document sources.
Use AI selectively when
- Interpretation or context is difficult to express as fixed rules.
- The document contains variation that traditional templates handle poorly.
- You can still place explicit controls around important business outcomes.
Do not select a platform only by the extraction model. Evaluate the complete path from document receipt to trusted downstream data, including validation, review, integration, security and operational visibility.
