DOCUMENT INTELLIGENCE FAQ
These answers focus on practical use. MicroExtract is designed to reduce repetitive document handling while keeping review, validation and human responsibility visible.
Document intelligence uses AI and configured rules to read business documents, extract selected fields, structure the information and highlight items that need review. The goal is usable, review-ready data, not simply a text transcript.
It can reduce repeated reading, copying and re-keying of the same document fields. Teams can spend more time reviewing exceptions and completing the business process instead of transferring routine data between documents and spreadsheets. Actual time and cost savings depend on volume, document quality and workflow design.
No unnecessary replacement is required. MicroExtract is designed as a document-intelligence layer that can produce structured outputs and, for supported paid plans and scoped implementations, connect through APIs or webhooks to existing systems.
Unclear, incomplete or rule-breaking values can remain visible for human review. Confidence is a review signal, not a guarantee of extraction accuracy.
The launch plans list XLSX for Free and XLSX, CSV, JSON and XML for paid tiers. Output availability and limits depend on the selected plan.
AP teams can extract invoice numbers, supplier details, purchase-order references, dates, taxes, totals and line items into structured fields, then review missing or mismatched values before using the result downstream.
An accounting firm can structure recurring client invoices, receipts and supporting documents into consistent outputs for bookkeeping and review. Accounting judgement, reconciliation decisions and final acceptance remain with the firm.
MicroExtract can extract the relevant invoice and PO fields and apply configured validation rules. The exact matching workflow depends on the available documents, reference data and implementation scope.
HR and People Operations can capture agreed fields from onboarding forms, certificates, claims and employee documents to reduce routine re-entry. Sensitive employment decisions and final record approval should remain under appropriate human control.
Procurement teams can structure RFQs, quotations, purchase orders and supplier documents so key fields are easier to compare, validate and hand to the next workflow step.
Operations and logistics teams can extract reference numbers, parties, dates, quantities, shipment information and other configured fields from recurring documents, with unclear values routed for review.
Configured certificate, COA, inspection and quality-document fields can be extracted and checked for completeness or expected values. MicroExtract supports review workflows, but it does not replace regulatory or professional judgement.
Customer forms, order forms and incoming PDFs can be converted into consistent fields so teams spend less time copying routine information and can move requests into the next approved step faster.
Source pages are multiplied by the output formats generated for that run. A 50-page PDF exported into four formats uses 200 page units. Re-downloading an existing output uses no additional units.
