Evidence status

No customer name, logo, volume, savings figure or performance result is asserted on this page. The scenario is deliberately illustrative so the architecture and measurement method can be reviewed without fabricating evidence.

The operational problem

A procurement or order-management team receives purchase orders from multiple counterparties as PDF attachments. Layouts vary, line-item tables are not consistent, and staff manually re-key order references, dates, currency, delivery details and line items into an ERP. Reviewers also need to identify missing references and ambiguous items before the order can proceed.

The target workflow

  1. Receive the incoming purchase order and preserve the source document.
  2. Classify the document as a purchase order.
  3. Extract required header values and line-item data.
  4. Validate required fields, reference formats and configured commercial rules.
  5. Check trusted references against the relevant system where integration is available.
  6. Route validation failures or uncertain records to a visible exception queue.
  7. Deliver accepted structured data to the downstream ERP or API.
  8. Record processing status and evidence so the outcome can be reviewed.

Trusted-output definition

Before implementation, the team defines what a successful output means. For this illustrative workflow it could include a purchase order number, recognised counterparty, order date, currency, requested delivery information and complete line items. The exact fields and rules must come from the real operating process.

What gets measured

The baseline should be collected before automation. Useful measures include total documents, manual keying time, documents requiring review, common exception categories and elapsed time from receipt to ERP-ready output. After implementation, the same definitions can be measured again. This avoids vague claims and makes the business case auditable.

Why this makes a good lighthouse candidate

The workflow has a recurring input, explicit output fields, defined validation logic, a visible manual baseline and a clear downstream system. Those characteristics make it possible to test the technology and measure the operational result without relying on generic benchmark claims.
