Keep certificate identity separate from test results
A certificate number, product name and batch identifier describe the report. Parameters, values, units and methods belong to repeating result rows. Keeping those groups separate helps reviewers detect a result attached to the wrong lot or a unit attached to the wrong parameter.
The following is an illustrative requirements checklist, not a universal supported-field promise. Confirm each field in the active mapping.
| Group | Example fields | Review question |
|---|---|---|
| Identity | Certificate number; issue date; issuer | Is this the correct source and revision? |
| Material | Product; batch or lot; sample identifier | Does it match the expected material? |
| Results | Parameter; result; unit; method | Are values associated with the right row? |
| Specification | Minimum; maximum; stated requirement | Is there an approved comparison rule? |
An extracted number is not a quality approval
In a synthetic example, a result of 0.12 percent against a stated maximum of 0.10 percent remains an exception. Reading the number correctly does not make the batch acceptable. Acknowledging the exception must not silently change its meaning.
Extraction is not laboratory verification, product certification or automatic release of goods. Preserve the source, the configured rule and the reviewer decision.
Prepare a useful evaluation
Choose permitted samples that include different suppliers, extra pages, missing units and revised certificates. Define which fields are mandatory and how many result rows should be present.
Use the existing secure application and authorised workspace for real files. Export only formats permitted by the account and validated template. Do not send confidential certificates through an unverified public form.
- Agree the required identity fields and repeating result structure.
- Check ambiguous units and decimal formats against the source.
- Compare short and long result tables.
- Record unresolved exceptions before the data is used.
Evaluate your document workflow
Start with representative permitted files, the fields you need and a clear review decision.
