Invoice Extraction: Field and Review Checklist | MicroExtract
Invoice extraction is useful when the output preserves supplier identity, invoice references, currencies, amounts and line items in a form a reviewer can check before bookkeeping or payment.
Define the output before choosing a sample
Keep invoice number distinct from purchase-order reference. Separate invoice date from due date, supplier details from customer details, and currency from numerical amounts. Repeating line items should not be reduced to a fixed number of columns.
This checklist describes evaluation requirements. Availability of each field depends on the approved mapping and output template.
| Area | Example requirement | Common exception |
|---|---|---|
| Identity | Supplier and invoice reference | Reference missing or ambiguous |
| Dates | Invoice date and due date | Ambiguous date order |
| Amounts | Currency; net; tax; gross | Unexpected arithmetic difference |
| Items | Description; quantity; rate; amount | Rows split across pages |
Test the cases that cause manual work
Use a multi-page invoice, a credit note, repeated headers, a missing PO reference and mixed currencies as separate test cases. Do not assume an apparent currency symbol identifies the currency without context.
Where the business requires a reconciliation rule, document rounding and permitted exceptions rather than silently adjusting totals. An extracted bank detail is not authority to update a supplier bank account or release payment.
A practical acceptance record
Record the source reference, expected required fields, expected number of lines, actual output, reviewer corrections and final decision. Review elapsed processing time separately from time spent correcting the result.
For the first evaluation, use permitted synthetic or redacted samples. Confirm account limits and the output format in the application; the public example is not an unrestricted processing entitlement.
